How to Write Case Studies That Win Tenders

Case studies are the strongest evidence you have, and most suppliers waste them. They pick the project they are proudest of rather than the one that matches the buyer, they describe the work rather than the outcome, and they leave the numbers out. A well-chosen, well-written case study can lift a scored answer a whole band.

1. Choose relevance over impressiveness

Evaluators reward case studies that match the requirement in front of them: same type of work, comparable scale, similar constraints, ideally a similar buyer. A modest project that mirrors the contract beats a flagship project that does not. Read what the buyer is asking for, then choose the closest match, not the biggest name.

2. Use the STAR structure

  • Situation - the client, the context, and why the work mattered
  • Task - the specific challenge or objective you were set
  • Action - what you did, with the detail that shows competence
  • Result - the quantified outcome, tied back to the objective

3. Quantify the result

A case study without numbers is an assertion. Give the measurable outcome: time saved, cost reduced, quality or satisfaction improved, incidents avoided, targets exceeded. If you cannot quantify it, get a client quote or a reference that does. Numbers are what move a case study from believable to compelling.

4. Connect it to the buyer

Do not leave the reader to join the dots. End each case study with an explicit sentence that connects it to the buyer requirement: because we delivered this outcome there, we will deliver this benefit for you here. This is the line that converts evidence into a scored point.
