Evaluation panel presentations

The presentation is where a written submission is either confirmed or unpicked. Panels are not looking to be impressed. They are checking whether the people in the room are the people who wrote the document, and whether the answers hold up when nobody can edit them.

What we do

  • Build the pack around the evaluation criteria and the questions the panel is actually scoring, rather than around what the supplier finds most interesting about itself.
  • Prepare the team for the questions that decide it, particularly the hostile and the specific ones, and identify who in the room answers what.
  • Rehearse properly, including the answers to weaknesses in your own submission, because a panel that has spotted a gap will ask about it and a defensive answer costs more than the gap did.
  • Anticipate what follows: buyers frequently ask for the pack afterwards, and often for service levels or a best and final offer, so the presentation should be built knowing that.

The mistake that costs the most

Sending the sales team. Panels are testing whether the people who will actually deliver understand the work, and a polished presenter who defers every substantive question to a colleague on mute does measurable damage. The second trap is presenting the company rather than the answer: the panel has read your submission, they are not looking for a corporate overview, they are looking to see whether it is true.

Why this stage matters

It is usually the last opportunity to change a panel's mind and the first opportunity for them to meet the delivery team. It also sets up everything that follows, because what a panel asks for after a presentation tells you exactly what they are worried about.

Common questions

Who should attend a bid presentation?

The people who will run the account, and at least one person with the authority to make commercial decisions. Panels consistently mark down teams where the presenters are visibly not the deliverers. If a named individual appears in your submission as key personnel, their absence from the room is noticed and it undermines the submission that named them.

What happens after a presentation?

Frequently a request for something further: the presentation pack, details of the service levels that would apply, clarifications, or a best and final offer. Those requests are informative. A buyer asking about service levels is thinking about managing you rather than selecting you. Being ready to answer within days, rather than starting the work then, is a real advantage.
